Health Information Management Assistant

Job Summary

The Health Information Management Assistant is responsible for the timely review, distribution, receipt and processing of physician orders in all modalities. The HIMAssistant works within the Electronic Medical Records (EMR) systems to input patient information and process requests for medical records. Handles sensitive and confidential information with discretion and professionalism and in compliance with the organization’s policies, procedures and HIPAA regulations.

Essential Duties

  • Promotes a positive patient experience by following required policies and procedures.
  • Performs verification of physicians’ orders in all modalities, reviews orders for accuracy and attaches orders to appropriate patient files.
  • Contacts physicians, physician offices or other health care agencies regarding orders with incorrect, questionable or missing information.
  • Follows up to check on status of order requests from referring providers.
  • Validates requests and authorizations for release of medical information according to established procedures and HIPAA guidelines.
  • Accurately and efficiently mails, emails or faxes requested medical records in accordance with privacy and HIPAA laws.
  • Imports and attaches incoming medical records to appropriate patient file.
  • Retrieves, prints and distributes medical records for radiologists.
  • Locates and requests prior imaging and medical records for various studies.
  • Prepares medical CDs and arranges for records delivery to other medical facilities as needed.
  • Runs and processes various management reports as requested.
  • Efficiently processes incoming and outgoing correspondence.
  • Maintains physician directories in EMR systems.
  • Assists the patient scheduling team when needed.
  • Assists with managing fax log and failed faxes.
  • Provides back up administrative support for other staff with similar job functions.
  • Performs special projects, miscellaneous customer service, operational and business support functions as assigned by management.

  • Proficiency with Electronic Medical Records (EMR) and Microsoft Office Word and Excel

Certifications & Licensure

Education & Experience

  • High School diploma, GED or equivalent combination of education and experience
  • Minimum 1 -2 years’ medical office or medical records management experience preferred
